Executive Assistant
We are looking for an outstanding professional, used to working in a busy but fun environment, organised and a team player. The ideal candidate will be looking for a challenging role in a dynamic, entrepreneurial and highly professional company and will have experience in dealing with tight deadlines; extensive diary management; being one step ahead of their MD? requirements and understands the importance of building relationships with clients and their teams.
In order to succeed in this role you must be versatile and have a very flexible and entrepreneurial approach. Ownership of all the tasks is a must-have. The role requires someone who is extremely personable, friendly and confident. You will be primarily responsible for organising and coordinating business meetings and managing schedules for our Managing Directors and providing ad hoc support to the wider team.
This is a fantastic job for someone who is hands on and likes a busy, rewarding and challenging role, in a fun and friendly environment. You must have solid experience in admin support to senior executives, excellent communication and organisation skills, attention to detail and be used to working under pressure. The role requires someone who is proactive, innovative (solution orientated) and who is looking for a dynamic and varied role.
Responsibilities include but not limited to
?cheduling and organising meetings
?aintaining and coordinating calendars
?oordinating various internal and external marketing events in fluid connection with the Firm event? team
?sing Salesforce.com to track and monitor marketing activities
?reparing time and expense reports
?oordinating travel plans, hotels, and car service
?anaging the invoicing process
?etting up conference calls
?eeting and greeting clients and other visitors
?upporting with onboarding new team joiners
?anaging confidential information, emails
?reating and amending decks in PowerPoint
?sing Excel to maintain team documents
?ssisting with client research
?rovide shadow cover for other team EAs
?ore hours are 9am to 6pm, Monday to Friday
Essential requirements
?ust have high level of interpersonal skills to handle sensitive and confidential information at maximum discretion
?ust be able to interact and communicate with all levels of the organization
?xperience working with senior clients
?bility to multi-task in a fast paced environment; constantly prioritise/ reassess tasks
?xcellent oral and written communication skills
?ust be proficient with a variety of computer software applications in word processing, spreadsheets, database and presentation software specifically, MSWord, Excel, PowerPoint, Outlook and various other internet applications
?ust be organised and detail oriented
?bility to work independently and within a team
?bility to be pro-active and involved in executive business dealings
